How are kids attendance, ratios and volunteer burnout calculated?
The Kids page uses individual check-ins from Planning Center Check-Ins, not Headcounts. It focuses on nursery through elementary rooms and the volunteers serving in them.
- Total kids
- All child check-ins in the selected range. Unique children counts distinct people checked in at least once.
- First-time guests
- Check-ins where Planning Center marked the child as a first-time guest.
- Guest share
- Distinct guest children divided by distinct children overall. A high share means many new families are trying the kids ministry.
- Volunteer-to-child ratio
- Children divided by volunteers for a specific room and service time. Met means at or below the target; Tight is within 10% over; Understaffed is more than 10% over.
- Volunteer burnout
- Based on kids-team serving records. Tired = 5+ consecutive weeks or 8+ services in 90 days; Burnout risk = 8+ consecutive weeks or 12+ services; Quiet = no service in 4+ weeks.
- Sole coverage
- A volunteer is the only person scheduled for a kids team in a given service time. Repeated sole coverage is a burnout and safety risk.
Room targets default by age group (nursery 1:3, toddlers 1:5, preschool 1:7, elementary 1:10). Admins can override a target by clicking the ratio in the Rooms table.
